Question 2: Where can I find the application process for studying abroad? |
On the website of the International Office, you will find information about the application process and the entire procedure for studying abroad. Question 3: What requirements do I need to meet when applying for a semester abroad? |
For Bachelor students: Generally, you should have successfully completed the first year of study at htw saar and be able to demonstrate at least 55 ECTS by the application deadline (after the first two semesters). Ideally, you should have passed the exams of the first three semesters and completed/passed the first four semesters before departure. You should have familiarized yourself with the target country and the study program at the partner university and be able to convincingly present your choice in your application letter (letter of motivation). A key requirement for successful study abroad is proficiency in the language of instruction. The corresponding proof of language skills at B2 level must be available at the time of application in January. You can find the language requirements for each partner university in the Outgoing Exchange Database. |
Question 4: Do I need a certain number of ECTS credits? If so, which ones? |
For Bachelor students: At the time of application (in the 3rd semester, but before the exam period of the 2nd semester), you should have at least 55-60 ECTS. |
Question 5: When and where can I take the TOEFL iBT (Test of English as a Foreign Language)? Will the cost of TOEFL be reimbursed? |
You must take the TOEFL iBT in time if the partner university/ies you are applying to require an internationally recognized language certificate such as the TOEFL (i.e., if the national DAAD language certificate is not sufficient). The TOEFL result at a B2 level must be included in your application by January 15th. Therefore, early registration is required! Recommendation: Take the TOEFL test early in the fall! The TOEFL iBT cannot be taken at the University of Saarland or anywhere in Saarland. The nearest test centers are, for example, Mainz, Luxembourg, etc. Note: The test center in Kaiserslautern is not recommended due to recurring technical issues based on past experiences. Note: You cannot "fail" the TOEFL test, but you must score at least 72-94 points, as this range corresponds to the B2 level required for the application. The exact score requirements can be found on the websites of the respective partner universities. If you have already taken the TOEFL iBT, please note that it should ideally still be valid until your departure date (TOEFL validity is 2 years). To apply for reimbursement, please contact Ms. Aline Magierski in the Dean's Office (Room B-1-06 at the Rotenbühl campus) no earlier than the summer before departure. You need to provide the acceptance letter from the partner university, the test result (participation certificate), your bank account details, your credit card statement with the Euro amount, your student number, and your name. You can also apply for the partial cost reimbursement after your return by submitting the documents mentioned above along with the Certificate of Attendance. The Faculty of Business is the only faculty at htw saar that provides partial cost reimbursement for this. |
Question 6: What transcript do I need for the application? |
For the application to the International Office at htw saar, you need to submit the German-language transcript, including the total ECTS and grade point average, which can be downloaded online from the Student Service. English-language study programs can only submit the English-language transcript with the total ECTS and grade point average. Note: If you have been accepted for a study abroad program, a current English-language transcript will be required for the respective partner university at a later stage. This English transcript, including total ECTS and grade point average, is also available online. If the partner university requires a "stamped and signed transcript of records," you will need to go to the Examination Office at htw saar. If you mention that you have already been selected for a study abroad program, you will not need to pay for it. |
Question 7: What is the Letter of Motivation? |
The Letter of Motivation is an application letter in which you briefly introduce yourself, outline your background, and present your motivation and goals for the planned study abroad period. You should have familiarized yourself with the target country and the study program at the respective partner university and be able to convincingly explain your choice in the Letter of Motivation. |

Question 9: When am I NOT allowed to go abroad? |
If you are a Bachelor's student in the 3rd semester and have earned fewer than 50 ECTS at the time of application, we generally recommend postponing your semester abroad to a later date. Admission to the 3rd academic year at partner universities is linked to the proof of 120 or 125 ECTS. Exception: Bachelor's programs in Business Informatics (BI) and SAP Consulting (SAPK). Due to the structure of your studies, you may not be able to provide this ECTS at the time of application. |
Question 10: Is it possible that I won't be accepted by any of the partner universities? |
In rare exceptional cases, it may happen that a partner university is unable to consider an application, for example, due to higher education policy decisions such as the discontinuation of a study program. This is considered force majeure, and in such cases, we strive to find an appropriate alternative for the affected students. When applying, you have the option to list multiple partner universities. This increases your chances of securing a study place at one of your desired partner universities. |
Question 11: Can I spend my 5th and 6th semester abroad? If yes, what are the requirements? |
You must also have applied for a double degree by January 15. Depending on your study program, an extension of the study period abroad may be possible, and you can find more information on this in your study and examination regulations (ASPO annex). If the period is extended to two semesters, approval is required from the International Office (IO), the program director, or the study abroad coordinator at htw saar, as well as the partner university. You should contact the relevant parties well in advance, during the middle of the study abroad semester. In double degree programs with partner universities, at least 60 ECTS must be completed abroad (+ ECTS for the final thesis, etc.), which is why these programs automatically involve a study duration of two semesters abroad (possibly including or plus an additional practical phase). |
Question 12: Can I apply for and receive financial support? |
By applying for the exchange programs at htw saar, you automatically participate in the selection process for funding through the EU program ERASMUS+ or the PROMOS program for study abroad semesters in non-European countries (Mexico, USA, Japan, China, etc.). You will be notified about the funding amount and receive your scholarship contracts from the International Office after the confirmation from the partner university in the summer before departure. You do not need to apply separately for ERASMUS+ or PROMOS. In addition, there are other funding opportunities (including DAAD, AHW, foundations, Deutschlandstipendium, etc.). You can obtain information directly from the relevant organizations, not from the International Office. |
Question 13: Can I apply for financial help even if it's not a partner university? |

Question 14: What should I do if I want to attend another university abroad that is not a partner university of htw saar, or if my program does not have an official partnership agreement with the university? |
If you wish to go abroad as a freemover, you do not apply in January for a study abroad program at partner universities of htw saar. You will have the status of a so-called freemover, outside of a contractual agreement. If you choose this option, please be aware that you will not receive financial support and the International Office will not assist you with the organization (application, recognition, etc.). If you want to go abroad as a freemover, please contact your faculty, your program director, and the International Coordinator. |
Question 15: Can I apply for an exchange semester at both partner universities of htw saar and other non-partner universities? |

Question 16: How will my grades from abroad be credited at htw saar? |
The recognition of academic credits from abroad is handled through the International Office, which works with the respective faculty to forward the records to the Examination Office. There are partner universities that send the Transcript of Records (ToR) either only to the students, only to the International Office, or to both simultaneously. Basis: Resolution of the Senate Committee on Teaching, 18th meeting on November 27, 2013, agenda item 13 (excerpt below)
For the documentation of the recognition in the grade report created by the Examination Office at htw saar, the following applies from December 2021: The total sum of successfully earned ECTS/credits from the semester abroad will be recorded as passed, with the name of the partner university, in the grade report at htw saar. The individual achievements will be documented in the Transcript of Records of the partner university, which students can attach to their certificate documents. Exception: Double Degree Programs. In this case, the grades are converted and are included in the overall grade at htw saar. Please upload the final Transcript of Records with all achievements from the partner university as a PDF in the MoveOn portal of htw saar directly after receiving it. Additionally, please send the current grade report from htw saar, including the already recorded achievements regarding your thesis and colloquium, to the International Office, along with information about your thesis supervisor (for both BA and MA theses). The organizational process regarding registration, supervisor assignment, etc., for the BA or MA thesis at htw saar is the same as for students who do not go abroad. |
Question 17: Can I receive a double degree? |
Some partner universities have agreements for an additional degree. In double degree programs with partner universities, typically 60 ECTS must be completed abroad, and these programs usually have a study duration of two semesters abroad. Some double degree programs may even extend the study period to include a practical phase. Typically, you will write your Bachelor/Master thesis and must inform the International Office about your thesis supervisor at htw saar and when the colloquium will take place. Only then can the recognition process be initiated. The prerequisite for nomination in these programs is 120 ECTS at the time of departure (125 ECTS for Mexico). Upon successful completion, you will receive both the Bachelor degree from htw saar and the Bachelor degree from the partner university. The grades from the study abroad phase will be converted and included in your overall grade at htw saar. Each partner university has an individual process for applying for double degree documents. However, you must always first obtain your degree from htw saar and send your Bachelor/Master degree certificate/transcript by email to outgoing@htwsaar.de. Question 18: When will I receive the confirmation from the partner university? |
This can take place between March and July, depending on when the application deadline is at the respective partner university. Some universities respond directly, while others may take longer. Please be patient and pay attention to their respective application deadlines. Tip from the previous generation: The earlier you send the necessary application documents to the selected partner university, the sooner you might receive an acceptance. This can have positive effects on finding accommodation locally or on potential BAföG (financial aid) applications. General recommendation: Never wait until the last day of the deadline! |

No, usually not. For ERASMUS+ students, there are often "special" programs. Please refer to the information you will receive in the spring during the direct application process from the partner university, as well as the experience reports from previous students. |

Question 25: Do partner universities require a semester fee like htw saar that I must pay as an exchange student? |
Yes, you generally need to pay the semester fee/a fee at the partner university (but no tuition fees). Incoming exchange students at htw saar must also pay the semester fee, just like you do at htw saar. |
Question 26: Can I write my Bachelor's or Master's thesis abroad if I spend two semesters at a partner university? |
In principle, this is possible under certain circumstances. Be sure to read the annex of the ASPO for your degree program and discuss it with your International Coordinator and program director. |
Question 27: How is the average grade in my Bachelor's transcript calculated in a double-degree program at the partner university? Does the partner university’s transcript include grades from htw saar, and if so, how are they converted? |
In double degree programs, the International Office transmits your academic achievements at htw saar to the partner university for the purpose of admission to the respective program, as well as for inclusion in the transcript of the partner university upon completion of the double degree program abroad. The grades from htw saar are not converted at the partner university; instead, the modules and their corresponding ECTS are documented on the transcript. Your academic performance at the partner university forms the basis for calculating the average grade on the transcript of the partner university. After successfully completing the exams at the partner university, the International Office will receive your academic performance in the form of a Transcript of Records, which becomes part of your htw saar transcript and the Diploma Supplement. The grades from the partner university will be converted by the faculties, and the modules with the corresponding ECTS will be documented on the htw saar transcript. |
Question 28: Do I have to pay fees for my stay in the USA? |
htw saar has a limited number of tuition waiver places for exchange programs. You have the option to participate in the exchange program as a self-financed student (in-state fee). If you do not receive a tuition waiver, you can indicate on the application form whether you are willing to participate as a self-financed student (note that this involves high tuition fees). Regardless of this, you must provide proof to the partner university in the USA with a letter from your bank confirming that you have access to a significant four- or even five-figure sum of money to cover all expenses for your stay, including obtaining the visa, and other related costs. The exact amount typically depends on the duration of your stay. |
Question 29: Can I receive ERASMUS+ funding as a DFHI/ISFATES student? |
Students of DFHI/ISFATES are eligible for an ERASMUS+ scholarship once during their Bachelor's studies and once during their Master's studies, for a maximum of 12 months each. In the binational Bachelor's programs, students from the German contingent are funded in the 5th semester in Metz (in the trinational European Construction Management program, in the 3rd semester). A scholarship can also be granted during the Master's program, as long as the maximum funding period has not been fully or partially used during the Bachelor's studies. The ERASMUS+ funding is managed by the International Office of htw saar ( outgoing@htwsaar.de) and must be applied for via the Université de Lorraine portal for the 5th semester in Metz/3rd semester in Luxembourg. The affected students will be contacted by the International Office via email as soon as the validated list from DFHI is available (usually in May). For the Université de Lorraine, you must apply for ERASMUS+ in two stages: first directly in the spring at UL, and then again in August. You will also be contacted by the International Office of htw saar for this process. The amount of funding depends on the resources allocated to universities by the European Union each year and may vary accordingly. Please make sure to coordinate the Learning Agreement with your program coordinator. DFHI students must include the French-language transcript from the Université de Lorraine with their application, as these DFHI students spent their first year entirely in Metz and will not have an htw saar transcript at the time of application. The average grade of all grades from the first two semesters in Metz must be converted into the German grading system for their application. Note for DFHI Students: DFHI students who, according to their regular study plan, are supposed to be at the Université de Lorraine in the 5th semester (instead of at htw saar) must clarify organizational details directly with the Université de Lorraine. |
Question 30: Can I go abroad for a semester through the International Office of htw saar as a DFHI/ISFATES student? |
Yes, DFHI/ISFATES students can also apply in January for an exchange semester in a third country for the upcoming winter semester through the International Office of htw saar, provided they have successfully completed all required courses from their first semesters. However, not every DFHI program has partnerships with htw saar’s partner universities. The available exchange programs can be found in the Outgoing Exchange Database on the International Office’s website. Additionally, you must first meet the specific DFHI criteria before you will be eligible for selection to apply through the International Office of htw saar. Please coordinate with the DFHI beforehand or review the criteria on the DFHI website. https://www.dfhi-isfates.eu/de/studierende/erasmus-internationale-austausche/erasmus-mobilitaeten/ For DFHI students, the same criteria apply for applying for a semester abroad as for all other applicants. However, the DFHI must approve their study abroad stay in a third country. The International Office of htw saar will inform the DFHI after January 15 about the application submissions from DFHI students, indicating whether they can be sent to a third country according to the DFHI criteria. If so, the selection jury will decide in the next step. Since not every DFHI degree program has partnerships with the partner universities of htw saar, applications from these DFHI programs will be treated with lower priority. Question 31: Do I have insurance coverage abroad? Do I need health insurance, liability insurance, and accident insurance for my stay? Should I arrange insurance myself, or does the International Office of htw saar cover it? |
Acceptance into a study abroad program (ERASMUS+ or PROMOS) does not automatically include insurance coverage! You are not insured through htw saar, and neither htw saar nor the partner university will take responsibility for organizing your insurance coverage. You are responsible for securing adequate insurance coverage (foreign health insurance, liability insurance, accident insurance) for the duration of your stay abroad. Details about the specific individual criteria in the direct application process at the respective partner university will be provided by the partner university during the admission process in the spring. In any case, you will need foreign health insurance for the entire duration of your stay. You must contact your current health insurance provider or, if necessary, purchase separate additional foreign health insurance. Please ensure that the criteria required by the respective partner university and, for example, any COVID-19-related requirements, are covered by this foreign health insurance. In addition to foreign health insurance, depending on the criteria of the partner university, you may also need to take out private liability insurance and accident insurance for your time abroad. These may even be mandatory at certain partner universities and are important not only for your stay abroad but also for your daily life. You will receive the necessary information during the direct application period at the partner universities. For students going to the USA, to SOU or WMC, the following applies: You must submit proof of foreign health insurance no later than early June to outgoing@htwsaar.de, as we need to forward the documents along with a letter from htw saar to SOU/WMC. Make sure that the criteria required by the respective partner university and the current COVID-19 situation are covered by your foreign health insurance. Students must have the original with them upon arrival in the USA. |
Question 32: What is the IELTS? |
The IELTS stands for International English Language Testing System and is a globally recognized test for proving English language proficiency. Over 6,000 educational institutions, government bodies, and organizations in 120 countries accept IELTS as a valid language proficiency proof—over 1,700 of these are in the USA alone. This makes the IELTS test one of the most widely used English language tests in the world. The IELTS exam is structurally very similar to other English certificates, such as the TOEFL, but there are also some key differences in the exam structure and acceptance. While the TOEFL test primarily focuses on American English, the IELTS assesses both British and American English. This fact, along with the test being conducted by Cambridge University, the British Council, and IDP Education Australia, contributes to its widespread acceptance in England, Australia, and New Zealand. While the TOEFL is often accepted as an alternative, the IELTS is generally regarded as the preferred option. Not all partner universities require this language certificate. The amount of PROMOS funding varies depending on the destination country and duration of stay. For study stays abroad, monthly allowances and travel grants may be provided. OLS stands for Online Linguistic Support and is the Erasmus+ online language support program. The Online Linguistic Support (OLS) is a mandatory online language test for all ERASMUS+ students planning to study or undertake an internship abroad. This test must be completed before departure. Students will receive all necessary information about the OLS test via email directly from the European OLS system after the partner university's acceptance and the release of licenses. Typically, this email arrives in July or August before departure. The International Office will inform you at the appropriate time. During the OLS registration, you will need to provide details about your mobility (your study abroad). Please enter the start and end dates as listed on the first page of your ERASMUS+ Grant Agreement. After your return, you may be invited to take a second test. This second test is voluntary.
